Junior Financial and Administrative Coordinator
We are seeking a proactive and detail-oriented Junior Financial & Administrative Coordinator to support our company’s administrative, legal, accounting, and business planning functions. This role involves close collaboration with external payroll, accounting, and legal advisors to ensure smooth financial and operational processes.
Key Responsibilities:
1. Administration & Payroll Coordination
• Maintain and update personnel records and employee documentation.
• Coordinate with external payroll service providers for salary processing, tax declarations, and social security contributions.
• Handle compliance and governance-related administrative tasks with authorities.
2. Legal Agreement Support
• Assist in drafting and managing employment contracts, service agreements, and NDAs.
• Support in handling SPA (Share Purchase Agreements), IP agreements, and distribution contracts.
• Liaise with external legal advisors to ensure contract compliance and risk mitigation.
3. Accounting & Finance Coordination
• Manage accounts receivable and payable, ensuring timely processing of invoices and payments.
• Work with external accounting firms to ensure proper bookkeeping, tax compliance, and financial reporting.
• Maintain internal financial records and reconcile discrepancies as needed.
4. Business Planning & Financial Analysis
• Assist in preparing financial forecasts, cash flow analysis, and budget planning.
• Support P&L tracking and KPI reporting.
• Work with external advisors to ensure financial strategy alignment and operational efficiency.
Required Skills & Qualifications:
• Bachelor’s degree in Finance, Business Administration, Accounting, or a related field.
• Strong analytical skills and attention to detail.
• Understanding of payroll, financial reporting, and legal agreements.
• Proficiency in Excel and familiarity with accounting/ERP software (Odoo is a plus).
• Excellent organisational and communication skills.
• Ability to work independently and collaborate effectively with external advisors.
Preferred Qualifications:
• 1-2 years of experience in finance, administration, or accounting (internships count).
• Knowledge of Swiss corporate regulations, tax, and compliance is a plus.
• Fluency in English; Italian or French is an advantage.
